Job Overview:
We are seeking an experienced and highly organized Office Manager/Receptionist to join our team. As the Office Manager/Receptionist, you will be responsible for overseeing the day-to-day operations of our office and ensuring its smooth functioning. This role requires a combination of administrative, managerial, and interpersonal skills.
Job Duties:
Office Manager
- Negotiate contracts with vendors such as HVAC, janitorial, security and fire systems
- Resolve vendor invoice discrepancies/disputes
- Perform routine maintenance on facility and address repairs that are needed
- Purchase/order office and break room supplies and equipment
- Handle petty cash
- Monthly fire extinguisher inspection
- Provide estimates for approval on big projects/repairs
- Schedule and coordinate appointments, meetings, etc.
- Ensure compliance with company policies and procedures
Receptionist
- Manage the front desk, including greeting visitors, answering phone calls, and responding to emails
- Process invoices and pay outstanding bills for company accounts
- Decorate and plan all office Holiday Events
- Stock copy machines
- Collect and sort all mail and packages
- Help file employment documents
- Assist with Onboarding
Skills:
- Strong organizational skills with the ability to prioritize tasks effectively
- Excellent calendar management skills to schedule appointments and meetings efficiently
- Experience in event planning and coordination
- Knowledge of human resources practices and procedures
- Proficiency in using office software such as Microsoft Office Suite (Word, Excel, PowerPoint)
- Strong administrative skills with attention to detail
Requirements:
- High School Diploma
- At least 2-3 years experience in a previous Office Environment
