Summary of Role:
As an experienced Office Manager at A&S Engineering, you will play a crucial role in supporting our project teams and managing a diverse range of administrative tasks. Your expertise will ensure our office runs smoothly, contributing significantly to the success and efficiency of our projects and operations.
Responsibilities:
- Managing financial transactions, including payroll, invoicing, and purchasing, with proficiency in QuickBooks.
- Overseeing daily office operations and ensuring efficiency.
- Providing comprehensive administrative support, including email, phone, and in-person communications with project managers, architects, draftsmen, engineers, and permit runners.
- Providing clerical support including sorting and filing documents and performing data entry tasks.
- Corresponding with clients, redirecting communications as needed, and maintaining high standards of service and professionalism.
- Assisting in project management, ensuring documentation complies with company standards.
- Facilitating team support, including calendar management, meeting scheduling, travel arrangements, and special project undertakings.
- Supporting permit acquisition processes by coordinating with project teams, navigating regulatory requirements, and ensuring timely submission of applications.
- Assisting with the onboarding of new hires and handling various HR-related tasks for efficient team integration and compliance with company policies.
- Managing office supply purchases and facility upkeep
Qualifications:
- Bachelor’s degree in Business Administration, Management, or related field preferred.
- At least 2 years of experience in office management, preferably within the engineering or architectural industry.
- Proficiency in QuickBooks and Microsoft Office Suite (Excel, Word, PowerPoint, and Outlook) required.
- Exceptional organizational skills, attention to detail, and ability to multitask.
- Excellent communication skills, both written and verbal, with the ability to work independently and in a fast-paced environment.
