Job Title:Office Manager
Department: Accounting
Reports to: VP of Controllership
FLSA Status: Exempt
Purpose
The Office Manager position oversees the day-to-day operations of accounting and the office, ensuring the smooth and efficient operation of the office environment. The Office Manager is responsible for managing administrative tasks, overseeing office processes, and recording and maintaining financial transactions, such as purchases, expenses, customer service, invoices, and payments. They will record financial data and assist the VP of Controllership with accounting functions. The Office Manager serves as a central point of contact for employees, clients, and contractors, facilitating effective communication and providing support to various departments within the company.
Primary Responsibilities
- Maintain efficient office services by organizing day-to-day operations and procedures.
- Develop relationships with coworkers, customers, and vendors to ensure smooth workflow.
- Assist other departments with workload coverage needs and special projects
- Manage relationships with vendors, customers, and service providers by answering the phone and managing email correspondence.
- Ensure that filing systems are well-maintained and up to date, making it easy to access and retrieve important documents.
- Coordinate with managers to ensure the proper functioning of office supplies and equipment, including computers, printers, and communication systems.
- Implement day-to-day accounting operations, with functional responsibility for accounting, particularly accounts payable and accounts receivable.
- Reconcile bank accounts and credit card statements.
- Prepare journal entries in support of month-end closing and routine intra-month reconciliation.
- Maintain and prepare sub-ledgers and schedules for relevant accounts.
- Complete month-end reconciliation of various accounts.
- Manage the vendor invoice process, from bill receipt to ACH batch creation for approval.
- Maintain vendor records, including business data, W9s, compliance with payables process, etc.
- Work with operations and supply chain on inventory adjustment and reconciliation.
- Manage customer credit policies, issuance, and process.
- Provide information during the preparation of audited financial statements and all tax returns.
- Investigate questionable data or discrepancies within the ERP system, working with various departments to resolve them.
- Creatively analyze opportunities to streamline and eliminate tasks in favor of spending more time on goals.
- Assist customer service by providing sales quotes, processing sales orders, inventory availability, and payment processing.
- Process Purchase Orders for vendors as requested

- Knowledge of GAAP accounting policies and procedures.
- Experience with Accounting Software, preferably NetSuite
