We are looking for an Office Manager to organize and coordinate administration of our company. Your role will be to maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and procedures. The position also involves bookkeeping and financial management of the business. Previous experience is important. A successful candidate will have experience with a variety of office software and be able to accurately handle administrative duties. Ultimately, you will ensure the smooth running of the office, billing and financials, and help to improve company procedures and day-to-day operations.
Responsibilities include:
- Implementing and maintaining procedures/office administrative systems
- Point person for maintenance, mailing, shipping, supplies, equipment, bills and errands
- Overseeing the work of all office employees to ensure they work productively and meet deadlines and company standards
- Customer Invoicing
- A/R Aging - Review & make calls on overdue invoices as well as be proactive on receivables
- Manage relationships with vendors and service providers, ensuring that all items are invoiced and paid on time
- Answering telephone calls and emails from customers and clients and directing them to relevant staff
- Managing CRM (client data base)
Skills required:
- Proven experience as an Office manager or Administrative assistant
- Knowledge of office administrator responsibilities, systems and procedures
- Proficiency in MS Office (MS Excel and MS Word, in particular)
- Proficiency in Quickbooks
- Excellent time management skills and ability to multi-task and prioritize work
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills
- Strong organizational and planning skills in a fast-paced environment
Schedule:
- Monday to Friday – 40 hours per week
