Office Manager

Verve Counseling & Wellness is looking to expand and add to our team! We are looking for an Office Manager to join the team. We are looking for someone who is hard-working, eager to learn, and has great communication skills with both the internal team and external clients.

Role:

• Schedule patients and appointments in appropriate calendars
• Call and verify clients have active minimum health insurance coverage and valid payment information/Paperwork
• Oversee set up and scheduling of new clients, etc.
• Manage all calendars and keep all calendars fluid, congruent, and up to date
• Answer customer & contractor's emails, phone calls, and questions
• Manage virtual front desk reception
• Work with internal/external clients and contractors on questions, concerns, needed updates and/or information, etc.
• Write and distribute blogs, email, correspondence memos, letters, faxes and forms
• Assist in the preparation of regularly scheduled reports
• Update and maintain office policies and procedures
• Make phone calls, send/collect needed information to potential client and existing clients
• Act as the point of contact for internal and external clients & counselors
• Assist with social media posts, content ideas, and content production (I.E. YouTube, Blogs, etc.)
• Lead weekly one-on-one calls with contractors
• Attend/participate in weekly meetings with leadership
• Participate/assist in other tasks as needed
• Perform other duties as assigned

Requirements & Details:

• Schedule: Saturday availability preferred
• Minimum of 3 years of experience required
• Strong interpersonal, customer service and communication skills
• Strong time management skills
• Strong ability to multitask
• Strong ability to quickly learn and use technology
• Proficient in Microsoft Office suite
• Proficient in Google suite a plus preferred
• Excellent ability to prioritize work
• Attention to detail and problem solving skills
• Excellent written and verbal communication skills
• Strong organizational skills with the ability to multi-task
• Great & effective communication skills required
• Ability to de-escalate and appropriately manage conflict and clients if needed required
• Participate/assist in other tasks as needed
