What your Job will Be like:
We are seeking an Office Management Assistant (OMA) to support two managers and staff at our client’s Livermore California site. You will provide administrative support and help organize and run the day-to-day operations of a W87-0 systems engineering department that manages the W87-0 Warhead. Our Office Management Assistants are the face of their department and maintain a professional demeanor in a dynamic environment. You will work independently and as part of a team, exercising initiative, managing multiple issues simultaneously, while handling constantly changing priorities.
On any given day, you may be called on to:
- Provide administrative support to managers and staff that work primarily onsite.
- Maintain manager calendars, arrange meetings, including teleconferencing and videoconferencing.
- Generate manager travel arrangements and prepare travel expense reports.
- Respond to communications such as phone calls and emails and requests for help.
- Manage a and initiate purchase requisitions.
- Assist with property and training coordination.
- Provide Classified Account Specialist (CAS) duties (training provided).
- Coordinate office moves with facilities and corporate computing support organizations.
- Serve as the information source on organizational policies and procedures.
- Arrange tours and coordinate accommodations for visitors from federal agencies and visiting leadership internal and external to our client’s facility.
- Coordinate hiring candidate interviews and assist with new hire onboarding.
- Plan and execute team functions and celebrations.
- Maintain a stockpile of office supplies for the team.
- Partner with other administrative support staff in the Division, lab-wide.
Required Qualifications:
- High school diploma plus three or more years of directly related experience or equivalent combination of education and experience.
- Proficient with Microsoft applications (Outlook, Word, Excel, PowerPoint) and web-based applications.
- Ability to obtain and maintain a DOE granted security clearance.
- Ability to work onsite a minimum of 3 days a week at our Livermore, CA location.
- Must be US citizen.
- Successful drug screening.
Preferred Qualifications:
- Experience providing administrative support (this includes supporting a team of staff and or managers).
- Excellent interpersonal, communication, and organization skills.
- Active DOE Q clearance (or DOD equivalent).
- Previous experience handling sensitive information and hardware.
- Previous experience working in a fast paced, dynamic environment.
About Our Team:
The W87-1 System team is responsible for maintaining and assessing the W87-0 warhead as part of the nation’s national defense deterrent. The team comprises technical staff with backgrounds in electrical, mechanical, and systems engineering and physical sciences. Additionally, the team includes core partners in project management, reliability, quality, nuclear safety, surveillance, engineering sciences, and material sciences. The W87-0 system team collaborates closely with external partners including Lawrence Livermore National Laboratories, the National Nuclear Security Administration, the United States Air Force and other stakeholder organizations.

Starting compensation for this role typically salary ranges between $40,000 and $100,000 annually is commensurate with experience relative to the position and may vary based on candidate geographical location.
