The Office Coordinator will provide support for HQ Operations. In alignment with Fairstead mission, the office manager will be responsible for smooth operation of the Corporate Office.
RESPONSIBILITIES:
- At the direction of the Office Manager, the Office Coordinator is directly responsible for the following:
- Serve visitors by greeting, welcoming, directing and announcing them appropriately
- Oversee and support all administrative duties in the office and ensure that office is operating smoothly
- Assist with reserving and managing parking spots allocated to the office
- Point of contact for building management
- Manage office supplies inventory and place orders as necessary.
- Receive and sort incoming mail and deliveries, and manage outgoing mail
- Develop office policies and procedures, and ensure they are implemented appropriately
- Assist with office layout planning and office moves, and with managing and maintaining booking system
- Manage and arrange office lunch daily
- Identify opportunities for process and office management improvements, and design and implement new systems
- Provide other administrative support as necessary, including scheduling group meetings, maintaining calendars, doing research, and creating reports
- Daily coordinating of staff meetings and conference room calendars
- Assist with office event preparations, gifting and celebrations
To perform the job successfully, the following skills and/or experience is required to qualify for the position.
- Bachelor's degree preferred.
- One (1) year of work experience in an administrative/office management role.
- Must have exceptional attention to detail.
- Strong organizational and time management skills, and ability to prioritize.
- Must be a self-starter and driven.
- Excellent communication and interpersonal skills.
- Strong problem-solving skills and analytical abilities.
- Must be proficient with Microsoft Office Suite and Google products.
- Able to effectively present and information and respond to questions from management, vendors, and associates.
- Adhere to tight deadlines and quick turnaround for deliverables.
- Ability to work collaboratively in a dynamic environment where adaptability is imperative.
- Accurate with a strong attention to detail.
Compensation and Benefits
Compensation: $25.00 - $30.00 + overtime eligible
