The Office Coordinator will coordinate scheduling and calendar management, as well as assist in event planning, ensuring that meetings, conferences, and other special occasions are executed seamlessly. They will also be the first point of contact for employees and guests entering the office. Ensuring that the office is accessible, functional, and comfortable while making every effort to ensure the office environment creates an ideal workspace for all our teams. Additionally, they will demonstrate commitment to maintaining confidentiality by safeguarding sensitive information and adhering to strict privacy protocols, ensuring the utmost discretion in handling confidential documents, discussions, and data.
What You’ll Do
Calendar Management
- Assist the Executive team with scheduling meetings, expense reporting, and other items as needed
- Coordinate all Talent Acquisition virtual and in-person interviews
- Coordinate conference rooms for the Executive team and talent operations
Office Management
- Act as the main point of contact for the New York office at the front desk, managing all day-to-day operations and supporting overall office operational efficiency
- Act as a point of contact with building management regarding building requests and rental of building office spaces
- Maintain a high-functioning office which includes monitoring the appearance of common areas and meeting spaces, overseeing office supply orders and inventory, pantry, refreshments, as well as equipment and appliances
- Manage all expenses for the office operations
- Receive incoming mail/packages and prepare and distribute them to the appropriate parties
- Work with the onboarding team to send out swag packages to new hires
- Answer incoming calls and redirect them to the appropriate parties
Event Planning
- Assist with event planning – ERG and company-wide event planning support
Requirements
- Three to five years of full-time work experience in an administrative/office management role
- Dedication to delivering a high level of customer service by prioritizing work efficiently
- Self-directed, highly efficient, detail-oriented problem solver with demonstrated experience in driving projects through to completion
- Ability to interact professionally with all levels of internal and external parties
- Experience improving and identifying issues in processes, suggesting user-focused improvements, and navigating cross-functional teams
- Creative mindset to deliver employee experience, initiatives, and events
- Strong experience with Office Suite (Outlook, Excel, etc.)
- Strong written and oral communication skills

Base Salary Range: $65,000- $90,000; Salary Commensurate with Qualifications and Experience.
