Job Description:
As the Office Coordinator with an emphasis on Administrative and Executive Assistant responsibilities, you will play a pivotal role in ensuring the smooth operation of our office and providing critical support to the leadership team. This hybrid role requires a highly organized, detail-oriented, and proactive individual capable of managing administrative tasks while offering essential support to executives.
Key Responsibilities:
1. Office Management: Oversee day-to-day office operations, including front office reception, management of a multiple-line phone system, and maintaining office tidiness.
2. Administrative Support: Provide comprehensive administrative support to executives, including scheduling meetings, managing calendars, and coordinating travel arrangements.
3. Communication: Act as a liaison between executives and internal/external stakeholders, handling correspondence, phone calls, and emails in a professional manner.
4. Meeting Coordination: Organize and prepare materials for meetings, take meeting minutes, and follow up on action items.
5. Document Management: Maintain and organize important documents, reports, and records, ensuring confidentiality and accessibility.
6. Event Planning: Assist in planning and coordinating company events, conferences, and meetings, including customer events, golf tournaments, and meeting coordination.
7. Purchasing: Manage the purchasing of office supplies and maintain an organized office environment.
8. Travel Coordination: Handle employee and customer travel booking, ensuring cost-effective and efficient travel arrangements.
9. Onboarding Support: Assist with employee onboarding activities related to security, desk setup, and building orientation.
10. Mail Distribution: Manage incoming and outgoing mail distribution efficiently.
11. IT and HR Assistance: Collaborate with HR and IT departments to assist with computer and asset tracking, as well as other related tasks.
- Administrative Experience: Proven experience in an administrative or Executive Assistant role.
- Organizational Skills: Exceptional organizational and multitasking abilities to manage office operations effectively.
- Communication: Strong written and verbal communication skills, including professional phone etiquette.
- Software Proficiency: Proficiency in Microsoft Office Suite and other relevant office software.
- Attention to Detail: High level of accuracy and attention to detail in all tasks.
- Discretion: Ability to handle sensitive and confidential information with discretion and professionalism.
