Friday Harbor Labs has an outstanding opportunity for a Office Coordinator (Program Coordinator) to join their team. This is a PART TIME permanent position at 62.5% FTE located in Friday Harbor,WA.
DUTIES AND RESPONSIBILITIES
  • As one of the primary contacts for visitors staying at FHL, communicate with them by phone, email, and in person: provide check-in information before their arrival; assist them upon arrival; attend to requests, answer questions, communicate procedures, and take and record payments during their stay; follow up as needed after their departure. Occasionally attend to a need outside of the office for a visitor, e.g., delivering an item to a housing unit.

  • Using FHL internal database systems, manage and monitor visitor reservations and communicate information (via database reports and other means) about visitor arrivals, departures, housing occupancy, meal plans, lab use, research activities, etc. to relevant members of the FHL community.

  • Manage use of FHL course vans: communicate policies and procedures; collect and maintain approved driver records; maintain van reservation calendar (google) and checkout sheets.

  • Process incoming and outgoing mail.

  • Monitor and maintain cash sources (collect, count, and record).

  • Monitor and maintain office supplies in Front Office and Whiteley Center.

  • Maintain database of Researcher and Whiteley Scholar publications.

  • Coordinate public and Advancement events including campus tours, annual Open House, annual Illg Lecturer visit, and biennial Advancement Board meetings.

  • Coordinate public relations: post on FHL social media; create and post flyers for events.
    Receive, record, and track donations to FHL in UW Advancement systems, creating reports for the FHL Director.
    Manage thank you communications to donors.
  • Additional Advancement support as requested, such as creating promotional gift baskets and writing minutes for Advancement Board meetings

  • MINIMUM REQUIREMENTS
    High school graduation or equivalent AND two years of experience in the administrative work or office management.

    equivalent education/experience.
