Job Title: Office Coordinator

Job Description:

Family Solutions Home Care LLC is seeking a proactive and highly organized individual to join our team as an Office Coordinator. As a key member of our growing organization, the Office Coordinator will play a vital role in maintaining the efficient operation of our office and ensuring the satisfaction of our employees.

Responsibilities:

  • Employee Relations: Cultivate and manage positive relationships between employees, fostering a supportive work environment.
  • Employee Records Management: Manage and oversee employee visit records within the charting system to ensure accuracy, promptly addressing any discrepancies or time change requests as necessary.
  • Compliance and Documentation: Ensure employee compliance with IDOH policies, procedures, and documentation, maintaining high standards of professionalism and adherence to regulations.
  • New Hire Onboarding Oversight: Oversee the onboarding process for new caregiver hires, including entering employee data into various systems, tracking compliance requirement expirations, and acknowledging birthdays.
  • Office Supplies and Inventory Management: Organize, maintain, and order office supplies, inventory, and personal protective equipment (PPE) to support day-to-day operations.
  • Flexibility and Adaptability: Demonstrate flexibility and adaptability in a dynamic work environment by fulfilling additional responsibilities as delegated by the Agency Manager.

Job Conditions:

The successful candidate must possess proficient communication skills in English, both verbally and in writing. Candidates should be self-motivated and able to work independently with minimal supervision while understanding their limitations and seeking assistance when needed.

Qualifications:

  • Must be at least eighteen (18) years of age.
  • A high school diploma is required; a bachelor’s degree is preferred.
  • Must possess a current Limited, Expanded, or National background check per IC 16-27-2 and provide a negative TB test result.
  • A current, valid state-issued driver's license is required if the employee is transporting an individual.
  • Completion of Family Solutions Home Care LLC’s application, training, & orientation is mandatory.
  • Demonstrated understanding and respect for clients, ethical standards, and confidentiality.
  • Minimum of three years of office administrative/management experience.
  • Minimum typing speed of 50 words per minute.
  • Proficiency with PCs: Microsoft Office Suite is required.
  • Ability to thrive in a fast-paced environment.
  • Strong ability to work closely in a team setting.
  • Excellent written and verbal communication skills.
  • Quick learner with the ability to adapt to new software.
  • Advanced organizational skills are essential.
  • Comfortable handling and managing numerous phone calls, both making and receiving them.
