We have an opening for a front desk Office Coordinator position at. Pay starts at $13-15 hour, with monthly bonuses of $100-$300 extra a month. JOB PURPOSE AND REPORTING STRUCTURE: Office Coordinator is responsible for keeping the client flow through the office and providing a relaxing atmosphere with a friendly personal touch while coordinating appointments.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
- Answering the phone(s),
- Scheduling appointments
- Filling each room and each therapist’s schedules. Alternate bookings to fill all therapists’ schedules if no specific therapist is requested.
- Confirming appointments day before.
- Knowledge and understanding of our services and products, knowledge of therapist’s skill sets to help when scheduling.
- Offer memberships to all clients, understand membership program and benefits.
- Understanding scheduling software.
- Building relationships with clients, looking ahead in the schedule to plan when to re-book, knowing when clients are missing and calling them.
- When Office Supervisor/Manager is not on the property, OC is the acting supervisor of the office and in charge of business. It is always recommended to contact your Office Supervisor/Manager if there is any situation you are uncomfortable with.
- Balance cash drawer for opening or closing as required. Keep change for cash drawer. Close drawer and keep all monies locked up properly at end of day.
- Assist in room set-up and laundry.
- Greeting all clients as they come in. Offer water and ask if they need to use the restroom before they get started.
- Dress appropriately and act professionally (business casual, no blue jeans). *
- QUALIFICATIONS: To perform this job successfully, an individual must have a good understanding of Microsoft Office, to include Word, Excel, and PowerPoint as well as email and Internet. EDUCATION and/or EXPERIENCE: Requires a High School diploma or equivalent. Basic computer skills are required. Customer service experience is helpful.
