The Office Coordinator role plays a critical role in our success. As the first point of contact the Office Coordinator sets the tone of the Customer Experience. The Office Coordinator team member will be responsible for setting appointments with clearly defined expectations and helping create solutions for our customers. This person will be expected to follow up with leads, use Google Workspace, learn communication techniques, and be willing to stay a student.
Office Coordinator Responsibilities
- Serve customers by being the first point of contact and setting the tone for the customer experience.
- Setting appointments with clearly defined expectations and helping create solutions for our customers.
- Maintain professional and technical knowledge about products to better represent product lines, and the company.
- Keep management informed by submitting activity and results reports.
- Make outbound calls to hot leads, use Google Workspace.
- Contributes to team efforts and communication.
- Maintains a positive and professional attitude when interacting with customers and co-workers, welcoming in-person visitors and responding to phone calls and emails.
- Processes invoices, payroll, purchase orders, expense reports and maintains organized records
- Establishes and maintains vendor relationships (supplies/financial/insurance/franchise/subcontractors) enabling the company to have a seamless business relationships.
- Accounts receivables and payables
- Support the sales team, administration tasks and interacting with customers regarding pre-determined questions
- Assists in the hiring process, informing applicants of available opportunities, schedule interviewing, coordinating onboarding and assisting with general onboarding paperwork
- Ensures confidentiality of all sales and personnel information
- Communicate with insurance vendor on any changes.
- Request and receive necessary certificates of insurance from subcontractors or vendors.
- Maintain project files
- Create client invoicing
- Assist with the organization weekly project reports
- 1-3 years of sales and customer service experience.
- Must possess strong communication skills and be able to converse with customers comfortably.
- Positive team player attitude
- Ability to assess and prioritize multiple tasks, projects and demands. Highly organized.
- Ability to carry out company policies and understand property protocol
- Quickbooks knowledge, Strong verbal and written communication and interpersonal skills
- Proficient with Microsoft Office, including outlook email, Word and Excel
- Aptitude for learning new applications and technologies
- Passionate, self motivated and dedicated to high quality work
