HelloFresh’s Office Assistant, Workplace Operations will be responsible for supporting the reception function at our Boulder office.
In this role, you will be the “face” of HelloFresh. Responsible for welcoming all of our guests, visitors and employees, seeing to it that they have all the information and access they need to have a successful day. You will be energized by this role if you enjoy working with and interacting with individuals across the entire organization.
You will…
Reception:
- Run floor reception Onsite M-F 7:30am-3:30pm always ensuring there is coverage or clear communication to guests when reception is empty
- Assist in morning setup including resetting office chairs, stocking supplies, conducting space walk-through.
- Answer and screen incoming phone calls to the Boulder HQ, escalate as needed to the follow up channel such as HR Help
- Provide a friendly, professional welcoming to all employees & visitors arriving at the office
- Prepare for and welcome new joiners, ensuring they have the information they need to thrive in office. Including visit procedures, wifi information, and general office how-tos.
- Ensure reception area is tidy and presentable, with all necessary stationery and material
- Lead office related deliveries, drop-offs, and pick-ups
- Assist with office security by following safety procedures and controlling access via the reception desk (monitor check-ins, issue visitor badges)
Projects Boulder HQ:
- Support with Boulder HQ employee security badging processes
- Support employee engagement activities by assisting with organization of employee facing events
- Assist with catering orders as needed
- In partnership with the Boulder Office Manager, Security, and building management, coordinate onsite visits of maintenance and vendors for different office related projects and facility needs
- Manage HelloFresh mail including sorting & scanning incoming mail
- Maintain confidentiality and compliance for all mail received by this team
You have/are...
- Independently problem solve for day to day occurrences, escalating larger issues to your
manager
- Communicates information clearly and effectively.
- Esthetics are important, so this person should have a great eye for detail and organization, with very high standards for a neat and organized office.
- Okay with getting your hands dirty (literally and figuratively!)
- Customer obsessed – You have an absolute passion for ensuring a great customer experience with every contact.
- Very strong organizational and time management skills
- Confident working in an autonomous role
- Creative, solutions focused and excited by a challenge
At minimum, you have...
- 2+ years experience in an office environment
- Bachelor’s degree preferred, but not required - equivalent work experience considered
- Familiarity with Google suite & MS Office
- Lift Up to 30 pounds
