Position Overview:
As a Business Office Assistant, you will play a crucial role in supporting the administrative functions of the business office. You will be responsible for assisting with various tasks to ensure the smooth operation of the office and contribute to the overall efficiency and effectiveness of Roosevelt Charter Academy (RCA).
Responsibilities:
Administrative Support
- Maintain and update electronic and physical filing systems.
- Provide administrative support to the business office staff, including scheduling appointments, managing calendars, and organizing meetings.
Customer Service
- Serve as support to Front Office Staff as needed.
- Assist students, staff, and parents with inquiries and general questions.
Data Entry and Record Keeping
- Accurately input and maintain data in various databases and spreadsheets.
- Assist with the creation and maintenance of reports, spreadsheets, and other documents.
- Ensure the confidentiality and security of sensitive information.
Financial Support
- Assist with preparation of cash deposits.
- Prepare financial documents and reports as requested by the administration.
- Collaborate with the finance team to ensure accurate and timely financial transactions.
Office Management
- Monitor and maintain office and classroom supplies, equipment, and inventory supplies, determining inventory levels, and verifying receipt of supplies.
- Coordinate building maintenance and repairs collaborating with Business Manager.
- Assist with special projects and perform other duties as assigned by the administrative team.
Physical Demands (All listed physical demands are considered essential functions and are not all-inclusive):
- Sits, stands, walks, stoops, kneels, crouches, and squats while performing duties.
- Has oral and auditory capacity enabling interaction interpersonally and/or through communication devices.
- Uses eyes, hands, and finger coordination enabling the use of equipment and writing utensils.
- Typical demands require staff to lift and carry up to 20 pounds and may be higher for some assignments depending on position and student need; climb stairs, ladders, and/or stools; reach, hold, grasp and turn objects; use fingers to operate computer keyboards; feel the shape, size, and temperature of objects.
Work Environment
- The noise level in the work environment may alternate between quiet, moderate, and loud.
- Frequently will be required to interact in person and through communication methods with the students, public, and staff.
- Required to work scheduled school/work hours and/or days.
- May be required to work extended school/work hours and/or days as directed.
- Work is generally performed within a standard office environment.
Qualifications
- High school diploma or equivalent.
- Bilingual – Spanish/English (written and verbal) preferred.
- Experience in school clerical or customer service position preferred.
- Dedicated to educational success for all students.
- Proficiency in Microsoft Office 365 (Word and Excel) and Google.
- Excellent communication skills, both written and verbal.
- Excellent cooperative, collaborative, and problem-solving skills.
- Strong organizational skills, attention to detail and accuracy in data entry and record-keeping.
- Ability to work independently with minimal supervision.
- Customer service-oriented mindset with a professional demeanor.
Compensation Range: $17.00 - $20.00 per hour
Scheduled Weekly Hours: 32
Hours per Day: 8
Number of Days per Year: 172 days M-Th
