IDS Imaging Development Systems Inc.is seeking a highly organized and detail-oriented person to fill the role of Office Assistant to support the operational side of our business. Your duties will be to assist our team with the daily financial and operational tasks while ensuring that our customers receive the highest level of satisfaction during their interactions with us.
Work Location:
This position is primarily office based, and we will only be considering candidates within commuting distance to our Stoneham, Massachusetts office. We strive to keep our workplace healthy and happy with a conscious effort on maintaining a responsible work-life balance. As you grow in your position, a full-time hybrid working schedule will be considered.
Your duties will include, but are not limited to the following:
- Account Receivable – maintaining customer financial records and completing required paperwork, working with customers to ensure that all payments are received in a timely manner, receiving payments/bank deposits
- Accounts Payable – maintaining vendor records, entering bills and making payments.
- Order Processing – entering customer basic data and processing orders received directly from customers and via the Webstore
- Client correspondence – professionally responding to customer and vendor billing inquiries via phone and email in a timely manner.
- Shipping – processing small customer orders for delivery and receiving new items into inventory.

Requirements:
- Basic bookkeeping and/or familiarity with basic accounting principles is necessary.
- 2 years+ of administrative experience in an office environment.
- Excellent attention to detail within a fast-paced environment.
- Excellent verbal and written communication skills.
- Top notch phone and email etiquette, as you will be working with clients and outside partners on a daily basis.
- Ability to multi-task, prioritize, and manage time effectively.
- A self-motivated work ethic and ability to learn a broad variety of topics quickly.
- Professional, positive attitude, patient, proactive, eager to learn and grow.
- Experience with Microsoft Office Suite (Word, Excel, Outlook, Powerpoint)
- Experience with SAP S/4Hana, Salesforce, and Confluence is a plus.
- Bachelor's degree is preferred.
- Candidate must be a U.S. citizen, a U.S permanent resident, and/or be authorized to work in the U.S. prior to being hired for this position.
