revitaRUGS is seeking a self-motivated, dynamic, and detail-oriented Office Assistant. The Office Assistant is responsible to perform a variety of administrative and clerical tasks. Duties of this position include providing support to the owner and employees, assisting in daily office needs and managing our company’s general administrative activities, including sales and customer services.
Job Responsibilities:
Perform general administrative duties including but not limited to:
- Managing all internal office systems and office maintenance
- Receiving guests
- Copying, faxing, and scanning documents
- Maintaining an organized filing system
- Preparing correspondence, as required, to include letters, memos, and reports utilizing the appropriate computer software packages. This may include the preparation of legal documents, board of directors meeting agendas and minutes, and correspondence regarding financial issues.
- Managing mail
- Ordering and organizing office supplies
- Scheduling appointments, travel arrangements and maintaining appointment calendars
- Answer and direct phone calls
- Organize and schedule appointments
- Ensure high levels of customer satisfaction through excellent sales service
- Assess customers needs and provide assistance and information on service features
- Build productive trust relationships with customers
- Plan meetings and take detailed minutes
- Book travel arrangements
- Team up with co-workers to ensure proper customer service
Requirements:
- Confidentiality is an absolute requirement of the position
- 2-year degree required
- 2+ years of Sales experience
- 2+ years of administration experience
- Excellent communication skills, both verbal and written, and attention to detail
- Proficiency in Microsoft Office applications (Word, Excel, PowerPoint)
- Experience using QuickBooks system
- Professional appearance and behavior
- Good customer service attitude
- Ability to multitask
- Self-motivated, dynamic and detail-oriented
- Fluent in Spanish and/or Italian is a PLUS
