The Office Administrator handles a wide range of administrative tasks including stocking and organizing supplies, mail processing, assisting with engagement activities, and serves as the first point of contact for vendors & visitors. The Office Administrator will partner with Office Managers on facility requests and works closely with the local People Team.
SCHEDULE:
- 20 hours/week
- Tuesday - Thursday
DAILY TASKS & RESPONSIBILITIES:
- Order & organize office supplies, food, and beverages for the office
- Open, scan, and sort all incoming mail
- Greet & check in all visitors at the front desk
- Maintain employee parking/badge distribution and deactivation
- Keep front lobby and reception desk clean & organized
- Perform walk-throughs of kitchen & office to ensure safety, cleanliness, and stocked
- Monitor cleaning crew - report needs to vendor
- Assist with and organize office engagement activities
- Account for and process merchandise/facilities invoices in Coyote's PO System
- Maintain vendor contact; coordinating office maintenance, lunch vendors, and events
- Keep employees informed of office events, visitors, news.
- Manage local Coyote Store inventory, ordering, ShopKeep, and pre-sale merchandise orders & delivery
- Assist with local customer merchandise, sympathy, and property requests
- Process facilities requests
- Quarterly safety walk throughs
- All other duties as assigned
ESSENTIAL SKILLS, CHARACTERISTICS, & EXPERIENCE:
- High school diploma or equivalent required
- Microsoft experience including proficiency in MS Word, MS Excel, MS Outlook
- Strong organizational skills & keen attention to detail
- Ability to efficiently prioritize workload & adapt quickly to change
- Work with little or no supervision, and work well in a team setting
- Friendly & outgoing personality, enthusiastic attitude
VALUED SKILLS, CHARACTERISTICS, & EXPERIENCE:
- 2 years of administrative and customer service experience
