We are looking to add an Office Administratorto join our Office Services team in Cedar Rapids, IA. Candidates thrive in our environment when they harness their collaborative mindset, strong interpersonal communication skills, and a love of learning.
This role will support is to support agency staff and location by projecting a professional, friendly image of Holmes Murphy as the initial contact with clients and visitors; providing various clerical support as requested in accordance with the established objectives and procedures of Holmes Murphy.
Responsibilities:
OEPI Account Manager Responsibilities to include:
- Manages and participates in renewal process
- Prepares policies for delivery to customers and for our office record.
- Develops and maintains positive work relationships with team members and colleagues which includes communicating information and effectively problem-solving as situations arise.
Office Administrator responsibilities to include:
- Maintain professional manner while directing calls to the appropriate personnel as well as taking and routing messages as necessary.
- Greet and direct visitors in a professional and courteous manner.
- Process and route all incoming and outgoing (UPS and/or USPS) mail.
- Purchase office supplies, kitchen supplies, stocking of refrigerators, snacks etc. and maintaining office equipment.
- Play a key role in running events, for both external clients and visitors and internal team members.
- Assist with onboarding of new talent to the office environment, including, set up of workstation, giving tours, introductions, etc.
- Coordinate catered lunches
- Prepare and submit check requests to Accounts Payable in a timely manner.
- Maintaining office credit card (BMO) and coding in a timely manner.
- Executive Admin support as needed.
- Serve as office point of contact for property manager, vendors and other Holmes Murphy departments. IT, Marketing, etc.
Knowledge, Skills, and Abilities:
- Excellent communication skills and the ability to apply these skills in either verbal or written form when interacting with various vendors, clients, company personnel, and team members.
- Experience with computer data entry required, working familiarity with Microsoft products.
- Knowledge of administrative and clerical procedures as well as organizational methods and the ability to manage multiple tasks/duties simultaneously.
- Ability to work effectively both independently as well as in a team environment to attain personal, team and company goals.
- High level of organizational ability; able to handle and prioritize multiple tasks.
- Detail oriented and problem-solving ability.
- Ability to maintain confidentiality
- Ability to assist in other work-related duties, as necessary.
- Ability and willingness to pursue relevant designations and/or continuing education, as appropriate.
- Must be knowledgeable of and comply with HMA's Client Privacy Policy, HIPAA regulations and E&O procedures and policies.
Qualifications:
- Education: High school diploma; college degree preferred.
- Experience:Minimum of 3 years administrative, customer service, or office experience.
- Ability to get your P&C license within the first 90 days of employment.
