Currently, Vision Center P.C. is seeking to hire an Office Associate with the possibility of advancing to the Office Administrator in 2-3 years depending on various factors such as experience level, training progress, and more.
The role of Office Associate will focus on learning the practice systems and departments, including our EHR software, optical, filing insurance, recall system, diagnostic equipment, and financial analytics during a training period to qualify to advance to the role of Office Administrator. Periodic and frequent reviews will take place to ensure open and clear feedback is shared regarding progress in this training period.
The Office Administrator will ultimately oversee the daily operations of the medical practice and satellite offices, ensuring efficient and effective functioning. Plan and direct the work of professional and support personnel who provide care to patients in a clinical setting including opticians, receptionists, technicians, and business office in all optometry locations.
Responsibilities: Following a successful transition to the Office Administrator role, responsibilities may include:
· Develop systems and implement policies to improve practice efficiency and patient care.
· Manage and supervise staff, including hiring, training, and performance evaluations.
· Update and modify EHR software to continue efficiency and excellent customer service.
· Create monthly financials and analytics, to track metrics and benchmarks.
· Ensure compliance with regulatory requirements and maintain accurate records.
· Oversee human resource functions to address staffing needs and employee relations issues.
· Assist in Optical to select/adjust/repair eyewear for patients.
· Assist in marketing.
Experience:
· Bachelor’s degree from an accredited institution, or equivalent tenure and industry experience.
· Experience in management, preferably in healthcare or related fields.
· Proficiency in IT, Microsoft Office, and relevant clinic management software.
· Strong organizational and multitasking abilities.
· Experience with electronic health record systems.
· Excellent interpersonal, leadership and motivational skills.
· Foster a positive and collaborative work environment, support professional development.
Note: This position requires successful completion of 2-3 year training program before assuming full responsibilities as an Office Administrator.
