Position Overview: We are looking for a detail-oriented dog lover and proactive Office Administrator to manage various administrative tasks and support the smooth operation of our office. The ideal candidate will be organized, efficient, and capable of multitasking in a fast-paced environment. The successful candidate will possess a positive can-do attitude and be a self-starter. This role involves handling client interactions, office logistics, assisting with employee on-boarding/off-boarding, and maintaining office supplies and equipment.
Key Responsibilities:
- Open and distribute mail, pay bills, and handle basic accounting tasks.
- Send weekly company emails to update team members on company news and events.
- Assist with the on-boarding and off-boarding processes for employees.
- Update and maintain all documents and files using Google Suite.
- Manage the administration calendar and delegate tasks/events as needed.
- Maintain client and employee communication boards.
- Update signage for company hours, holidays, and closures as needed.
- Ensure office equipment is operational and arrange for repairs or replacements as needed.
- Order and maintain office supplies to support daily operations.
- Check voicemail and maintain the voicemail system.
- Create and post job ads on various platforms, screen candidates, and schedule interviews for management.
- Coordinate team meals and organize anniversary celebrations and monthly recognitions.
- Answer incoming phone calls, greet clients, and assist with check-ins and retail purchases as needed.
- Organize and maintain office spaces to ensure cleanliness and organization.
- Track and renew licenses and certification for the business
- File monthly sales tax reports online
- Assist in booking travel for owner as needed
Qualifications:
- Proven experience in office administration or a similar role.
- Proficiency with Google Suite and other office software.
- Excellent communication and interpersonal skills.
- Self-starter with strong organizational and multitasking abilities.
- Attention to detail and problem-solving skills.
- Ability to work independently and as part of a team.
- Prior experience with employee on-boarding/off-boarding is a plus.
- Familiarity with Indeed and Homebase for posting job ads a plus.
- Must have a positive/can-do attitude
Job Type: Part-time
Pay: $20.00 - $25.00 per hour
