About the position
Old Mission is seeking an Office Administrator to perform a variety of administrative support tasks under minimal supervision, using discretion and independent judgment concerning priorities, methods, procedures, and deadlines. The ideal candidate has outstanding organizational skills and the ability to accurately maintain and organize an eclectic variety of assignments. You will be part of a greater team of Admins that support Old Mission's offices globally.
Responsibilities:
- Answer phones, greet and direct visitors, and maintain the appearance of guest areas
- Perform clerical duties such as filing, scanning, emailing, and copying documents as needed
- Stock and organize snacks, drinks, coffee, and office supplies
- Manage and distribute lunch orders for the office
- Manage relationships with our lunch and supply vendors
- Processing of credit card reports and expense reimbursements
- Prepare and route requests for supplies, equipment, service and maintenance work orders
- Receive, distribute, prepare and track mail and shipments
- Coordinate travel for employees
- Keep updated records of office expenses and costs
- Help coordinate social and wellness events for the office
- Proactively problem solve any additional projects and responsibilities as assigned
Required Skills:
- Bachelor's degree or proven, relevant experience as an office or administrative assistant
- Familiarity with office equipment, phone systems and proficiency in the MS Office Suite
- Customer service oriented with a warm personality
- Excellent written and oral communication skills
- Time-management skills, with the ability to prioritize tasks on multiple projects simultaneously
- Self-starter with the ability to work well under limited supervision
- Attention to detail and excellent follow-through skills
- Ability to quickly learn and research new tools and procedures
- Must be able to lift up to 20 pounds
