We are looking to hire a positive, dynamic, detailed-oriented Office Administrator to join our thriving team! You will be responsible for overseeing the administrative activities of the organization.
We are a growing company in Westlake Village, CA (Ventura County). We create and sell surgical training models in the medical field of Ophthalmology. If you like working in a fast-paced environment, are extremely sharp and detail-oriented, can juggle tasks and manage timelines, work well independently and with people, and love administrative work, we want you to join us in this adventure! This is a junior admin position that will work closely with management. We are wiling to train a dynamic person.
Responsibilities:
- This position will undertake detailed administrative tasks, ensuring the rest of the staff has adequate support to work efficiently
- Manage detailed records - Microsoft Office, Google Docs, Inventory Management, and Work Flow Management
- Manage accounts receivable, including collections
- Assist in the onboarding/off-boarding process as needed
- Answering all emails and light phone calls from clients
- Create shipping labels for packages internationally + domestically
- Coordinate with CEO, CSO, Production & Sales for all orders
- Coordinate with IT department on all office equipment
- Purchasing office supplies and equipment and maintain proper stock levels
- Maintain the office condition and arrange necessary repairs
- Run miscellaneous errands as needed
Qualifications:
- 1-3 years + previous experience in the administrative or similar field
- Bachelors Degree required
- Proficient with office systems - Microsoft Office, Google Docs, Inventory Management, and Work Flow Management Systems
- Ability to run reports
- Strong critical thinking skills
- The candidate should be intelligent, creative in solutions, detail-oriented (do you check your work twice?), a problem solver, extremely well organized, pleasant but appropriately assertive when necessary, and work well in a team
- Ability to work independently and prioritize multiple assignments, anticipating needs in a fast-paced environment
- Excellent organizational and time management techniques

This is a full-time, in-office position with standard hours Monday - Friday, 8:30am - 5:00pm. Occasional evenings or weekends may be required during new product launches or extremely busy times. We are growing and have great opportunity!
