Position Summary:
Coordinates administrative office services such as general business activities for themselves and others, appointment-setting, records control, date entry, and other administrative activities for Scottsdale Pediatric Behavioral Services. Interprets operating policies. Exercises independent judgment in the resolution of administrative problems.
Essential Duties, Responsibilities, & Competencies
· Talk on the phone with New Patients and describe SPBS services and options for treatment
· Schedule phone calls between parents and providers to coordinate diagnostic testing and ABA assessment appointments
· Data entry, graphing, and data review
· Coordinates and implements general office services such as appointment-setting, records control, answering phones and other administrative activities
· Receive, sort, distribute, and scan the mail
· Ensure office is kept clean and organized at all times
· Answer employees’ questions and provide requested information
· Independently creating well-organized, memos and reports for distribution
· Maintaining highest level of confidentiality
· Managing executive calendar, requiring interaction with internal and external executives and assistants to schedule variety of business meetings
· Handling incoming and outgoing phone and electronic communications quickly and efficiently
· Maintain inventory list of all business supplies
· Develop and track inventory order requests to ensure sufficient quantities of supplies
· Clarify and communicate operating policies
· Acts as the main point of contact for patients
· Providing real-time scheduling support by booking appointments and preventing conflicts.
· Collaborates with Supervisors in developing schedules for clinical services
· Locates and compiles information, formats reports, graphs, tables, records and other sources of information
· Performs a range of staff and/or operational support activities; may serve as a liaison with other departments on basic administrative and/or operational matters.
· Assists with special events planning
· Operates company issued iPhone and computer to access e-mail, electronic calendars, and other basic software
· Exercises administrative judgment and assumes responsibility for decisions, consequences, and results impacting staff, costs, and/or quality of service
· Other administrative duties as assigned

Pay: $50,000.00 - $60,000.00 per year
