Foundations Developmental House, a thriving Speech-Language and Occupational Therapy Clinic, is seeking a dedicated and professional Administrative Coordinator and Patient Registrar to join our team.
Responsibilities
- Greet and welcome patients and visitors with a warm and friendly demeanor
- Process patient payments
- Check insurance benefit details and securing insurance authorizations when needed
- Provide exceptional customer service, addressing inquiries and scheduling appointments
- Manage patient records, ensuring accuracy and confidentiality
- Maintain a tidy and organized reception area
- Keep bathrooms and kitchen area clean and stocked
- Answer phone calls and direct them to the appropriate staff member
- Liaison between schools and families for Individualized Education Evaluations (IEEs)
- Assist therapists with administrative tasks, such as billing and documentation
- Keep track of office supply needs and convey to Operations Manager
- Coordinate and schedule therapy sessions, managing the clinic's appointment calendar
- Collaborate with therapists and other team members to ensure efficient clinic operations
Requirements
- Proven experience as a receptionist or in a customer service role
- Excellent phone etiquette skills
- Excellent verbal and written communication skills, expressive and receptive
- Strong organizational and multitasking abilities
- Proficient in using computer systems and software (e.g., scheduling and billing software)
- Must take feedback well
- Ability to work well in a fast-paced and dynamic environment
- High school diploma or equivalent
- Empathy and compassion when dealing with patients and their families
- Able to handle parent frustrations in a polite, supportive, efficient manner (insurance problems, scheduling, etc.)
- Knowledge of speech-language therapy or occupational therapy is a plus, but not required
- Must be able to pass a background check
