Job Description
This position will serve one company in two location. Since launching in 2011, The Heirloom Chef has become a local favorite, offering Personal Chef and catering in the SF Bay Area, California. Our woman-owned business expanded to a new location in Cincinnati, Ohio in 2020 and launched under our sister brand Goosefoot Cook and Grow.
Our mission is to provide a creative, flexible way of making a living for chefs and support our team with benefits that are above industry standards and elevate their individual and collective work to challenge culinary industry labor norms.

Bookkeeping: Using Quickbooks, is in charge of weekly invoicing, collecting payments, following up with client payment questions. This person also categorizes expenses, maintains files of all receipts for the IRS, pays local sales taxes, and pays yearly federal taxes.
Scheduling Clients/Chefs and Sales Call: Will coordinate with the owners to book sales calls and collect deposits to finalize reservations. Also helps maintain all client records including addresses and contracts. Once clients book, coordinates with the chef team to schedule clients in their calendars and maintains good contact with the clients to finalize details.
HR: Runs payroll biweekly. Onboards all new hires by enrolling them in our benefits program and collecting needed paperwork. Ensures that benefits are paid out in a timely way.
Misc: Keeps passwords and other details in good order. Makes sure the website fee is paid yearly and it is up to date. Records new systems and processes in the office manger manual as the role continues to evolve. Helps create and refine systems as needed to better the day-to-day operation of the business.
This is a W-2 position. Hours are flexible but ideally would start around 10 am, in sync with West Coast time.
This is a remote position requiring current technology such as wifi and your own personal computer.
Requirements:
● High School diploma
● At least 3 years of experience as an Office Manager/admin
● Ideally, proficient in Microsoft Word, Excel, PowerPoint, Recipe Management Software, QuickBooks, Google Docs, Google Cal, and Google Sheets. We can train on these platforms as needed.
● Basic computer knowledge and ability to use a printer, smartphone, and other electronics
● Excellent communication and people skills - extremely confident and comfortable engaging and interfacing with a wide variety of high-paying, affluent clients and vendors on a daily basis.
● Must be extremely detail oriented, strong organizational, follow-up, and time management skills.
● Assertive with the ability to follow up with team members as things progress
● Basic knowledge of and can handle data entry, answering phones, scheduling appointments, errand running and client management without letting things fall through the cracks
● Strong capability to work under pressure, be resourceful and handle last-minute, unexpected tasks
● Ability to stay calm and focused in all situations utilizing common sense
● Ability to work well independently within a fast paced, dynamic, time-sensitive environment
Excellent problem solving techniques and ability to learn the needed to skills to complete a project
