At PBCB, we are looking for a pleasant and friendly Medical Front Desk Representative to join our team! As a Medical Front Desk Representative, you will be responsible for different receptionist and clerical duties at our office. MUST HAVE SOME MEDICAL BILLING/INSURANCE VERIFICATION KNOWLEDGE.
As the front-line-employee, your role will be extremely important for improving customer experience and satisfaction. Your goal should always be to make our guests feel comfortable and satisfied while in our office, all while working with therapist.
This is currently a part time position which could lead for a permanent full-time position.
Hours & Days vary from 8:00 am to 8:00 pm. (MUST BE AVAILABLE TO WORK)
Front Desk Representative duties and responsibilities
- Keep Front Desk clean, tidy and supplied with all the necessary supplies
- Greet, communicate with and welcome guests
- Answer all the customers' questions and address their complaints
- Answer all incoming calls, redirect them when needed
- Receive letters, packages and send them to appropriate destination
- Prepare and manage outgoing mail
- Check, sort and forward emails
- Monitor office supplies
- Make supply orders when needed
- Monitor and update records and files
- Monitor and log office expenses and costs
- Opening Center every morning at 8:00AM
- Light Cleaning
- Assists CEO with some personal errands
- Medical/Healthcare knowledge is a MUST!!!!!!!!
Front Desk Representative requirements and qualifications
- 2 years of experience as Front Desk Representative or similar role
- Hands on experience with office machines (for example fax, printer etc.)
- In-depth knowledge of office management and social media
- Excellent knowledge of MS Office (especially Excel and Word)
- Sense of ownership and pride in your performance and its impact on company’s success
- Critical thinker and problem-solving skills

Responsibilities:
- Greet and check-in patients as they arrive at the Front Desk
- Schedule appointments and manage the appointment calendar
- Answer phone calls and respond to inquiries or direct calls to the appropriate staff member
- Verify patient insurance information and collect co-pays or payments
- Maintain patient records and update information as necessary
- Assist with medical administrative support tasks such as filing, faxing, and scanning documents
- Provide excellent customer service to patients and ensure their needs are met
Experience:
- Previous experience working in a medical office or dental receptionist role is preferred
- Familiarity with medical software systems such as TherapyNotes, KIPU, eClinicalWorks, Epic, or similar platforms is a plus
- Knowledge of medical terminology and procedures is beneficial
- Strong organizational skills and attention to detail
- Excellent communication and interpersonal skills
