In this role, you will be responsible for managing the invoicing process for our global trademark and intellectual property team, communicating directly with law firms around the world to address questions and solve billing issues. You will also be responsible for assisting the team by developing, notarizing, and distributing important legal documents, planning departmental functions, and overseeing departmental spend and budgets. In addition, you will provide administrative support to the Vice President, Associate General Counsel, who manages several teams, based in both the Plano and Louisville offices. In this role you will be working in a hybrid work environment.
Salary Range: $64,000 to $78,000 annually + bonus eligibility. This is the expected salary range for this position. Ultimately, in determining pay, we'll consider the successful candidate’s location, experience, and other job-related factors.
Responsibilities:
- Own responsibility for management of several hundred invoices/month, utilizing the Serengeti Legal Tracker invoice management system; partner with Docketing Manager to ensure invoices are billed correctly
- Communicate directly with law firms and agents around the world to resolve invoicing and other accounts payable issues on behalf of the team
- Assist the team with important legal documents, including serving as a notary and arranging for the shipment of documents around the world
- Serve as a central point of contact for an almost fully-remote team
- Assist department leader with day-to-day administrative tasks, projects, and planning, including calendar management, travel arrangements, expense reports, and department budgeting
- Prepare financial and other reports, presentations, and internal communications
Minimum Requirements:
- 5+ years of high-volume Invoice Management experience using electronic billing software
- Notary (or willing to obtain notary status)
- Advanced knowledge of Microsoft Office with clear proficiency in Word, Excel, PowerPoint and Microsoft Suite
- High level of comfort with cloud-based data management software/technology
