We are currently seeking a full-time Jr. Executive Assistant to provide support to the Chief Financial Officer and the Chief People Officer. She/he/they must be a self-sufficient problem solver who can adjust to rapidly changing circumstances, multitask and work well under pressure as situations warrant. The ideal candidate will be analytically minded, highly organized, tech savvy and possess excellent time management skills.
Daily responsibilities include, but are not limited to:
- Act as a proxy by implementing decisions in an effective and efficient manner
- Provide task management support for executives, coordinate high priority action items
- Proactively communicate regularly throughout the day keeping Executives well informed of changes and important updates
- Periodic creation of reports including solicitation and follow up with Directors, Project Managers, or other Finance and HR team members
- Communicate status reports or updates as required
- Provide general administrative support on calendar management, travel, and meeting/events planning
- Provide meeting support including calendaring, pre-meeting preparation, in-meeting note taking, and post-meeting follow up
- Guide meetings through deliverables, outcomes, and actions
- Drive agenda development and track follow-up actions
- Examine existing business operations and develop relationships with department leaders to gain a deep understanding of their needs, gaps, and opportunities
- Support team building events and activities
- Maintain records, hard copy, and electronic filing system
- Manage administrative aspects of executive deliverables, including editing and proofreading documents, presentations, handling inquiries, and filing
Minimum qualifications:
- BA or BS degree in Business Administration, Economics, or a related field
- 0-2 years of administrative work experience in a fast-paced office setting and background in strategy, analytics, and/or business operations
- Exceptional time management, organizational, and multi-tasking skills with strong attention to detail and follow up
- Strong project management competencies and ability to apply pragmatically for best outcome
- Ability to work independently and exhibit patience in a fast-paced environment with competing priorities and minimal guidance
- Strong business acumen with a positive “can-do” attitude, and ability to anticipate needs and flexibility with last minute changes
- Passion for working with, organizing, and interpreting data
- Collaborative work style and the ability to work across departments to get the results or support necessary to complete tasks
- Demonstrates initiative, accountability, and ownership of assigned tasks
- Excellent interpersonal, business writing and verbal communication skills
- Ability to learn existing systems and processes quickly
- Maintain professionalism and confidentiality
- Extensive experience in MS Office tools including Outlook, Word, Excel, and PowerPoint
- Ability to develop and maintain positive relationships with staff and vendors
- A proven professional or personal commitment to the betterment of the environment and the reduction of GHGs (Greenhouse gases)
- Delightful personality and winning sense of humor
Salary DOE: $85k - $105k / Annually
Compensation is commensurate with experience and includes a generous retirement package. Energy Solutions provides an excellent benefits package, including medical, dental and vision insurance, and other pre-tax contribution plans.
