Job Summary
Overextended serial entrepreneur (which is less sexy than it sounds) is seeking a highly organized, trustworthy, and detail-oriented Executive/Personal Assistant to provide support.
The Personal Assistant will be responsible for coordinating with remote assistants with managing calendars, receiving/scanning mail, keeping up with necessary filing deadlines (with bookkeeper), meeting with vendors when necessary, general organizing, straightening the office, ordering supplies (for office and rental properties) running professional and personal errands as-needed, and performing various administrative tasks. The ideal candidate is self-motivated, proactive, resourceful, can solve problems as they arise, and is able to handle confidential information with discretion.
Probably most important: they must be organized but comfortable dealing with a completely disorganized person. Must also be comfortable with taking on new tasks and "figuring things out" that may be new to prior projects.
MUST be bilingual, conversational in English and Spanish (no exceptions, sorry!)
```Duties```
-Managing passive income projects: real estate, STRs, etc. in the area, including inspections, inventory (as-needed), etc. as well as new ventures in/around the
LA area
-Scan and process mail, forwarding on items to bookkeeper and other stakeholders as-needed
-Scan and process expense reports
-Research funding opportunities for new initiatives
-Order supplies (personal and professional)
-Check email and pass along digest of needed follow-ups
-Arrange and meet with vendors, contractors, repair people to secure quotes and deal with emergencies as-needed
-Assist with drafting and editing correspondence, reports, and presentations
-Perform general administrative tasks such as filing, photocopying, and organizing documents
-Maintain office supplies inventory and place orders as needed
-Handle confidential information with discretion
Qualifications
-Must be bilingual in English and Spanish
-Previous experience in an administrative or personal assistant role preferred
-Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
-Strong organizational skills with the ability to multitask and prioritize effectively
-Excellent communication skills, both written and verbal
-Ability to maintain confidentiality and exercise good judgment
-Familiarity with office equipment and phone systems
-Self-starter/self-motivator - I'm constantly on the move and need someone able to manage themselves and step in where needed without being told
-In the future, pet-/house-sit when owner is traveling (not a regular occurrence)
-Must have a car and be comfortable with driving to/around Hollywood, Inglewood, and Downtown LA
