The Executive Assistant is primarily responsible for providing diversified and often highly confidential, administrative, project and advanced clerical support to the Chief Operating Officer, and other assigned leadership within the Administration and Operations Departments. Activities may also encompass disciplines such as some elements of the professional discipline supported (operations/project coordination) as well as event planning, meeting management and calendar management.
Essential Functions
- Provides primary support to the Chief Operations Officer (COO) with secondary support to the COO's direct reports and/or consultants as assigned.
- Performs high level, diversified and often confidential administrative duties requiring broad and comprehensive skill and knowledge of organizational policies and procedures.
- Provides project management coordination including, planning, research, organizing, managing, coordinating, and executing activities related to assigned projects to ensure reliable and efficient achievement of project goals.
- Provides general administrative support to assigned leadership, such as scanning of contracts and documents, faxing, and copying of documents, filing, and obtaining signatures as well as organizing and maintaining internal shared files to support knowledge.
- Effectively prioritizes competing requests, switching focus as needed often negotiating prioritization of administrative activities with team members and assigned leadership.
- Provide office support, which may include preparation, execution, and follow-up of meetings by scheduling rooms, ordering refreshments, creating agendas, issuing invitations, tracking RSVPs, and recording minutes for assigned meetings.
- May act as inter-department liaison for COO and Executive Administrative Manager.
- Monitors and responds to voicemail and email as requested, ensuring timely response and follow-up.
- Composes, drafts, edits, and files business correspondence with special attention given to accuracy, consistency, style, and ability to be retrieved.
- Prepares reports and presentations on behalf of assigned leadership.
- Handles Executive, staff, patient, donor, and other information and communications with strict confidentiality, courtesy, and diplomacy.
- Processes expense reports, travel arrangements, and check requests on the behalf of the COO.
- May participate in ad-hoc special projects or administrative initiatives.
Education/Experience
Required
- High school diploma or equivalent required. AA degree in business or health administration or related field or equivalent experience preferred.
- Highly proficient with MS Office, including Word, Excel, Power Point and Outlook.
- 4+ years previous Executive Assistant experience preferred; typically gained in a business, real estate, legal or healthcare setting.

- EPIC experience
- Experience with Project Management Software tools, Gannt charts, methodologies and best practices
- Must be able to type 50 wpm
- Effective communication skills including interpersonal skills to establish and maintain effective working relationships with all leadership, co-workers, and professional staff; to consistently interact with business associates, vendors, patients and other members of the public with courtesy and professionalism, both in person, on video and on the telephone.
