Under general supervision of the IT Project Manager and in accordance with established policies, procedures, and IT Department practices, the IT Operations Coordinator performs a variety of key administrative, process/project management, and record keeping functions of the department.
RESPONSIBILITIES
New Hire, Termination, and Status Change
- Creates, manages, monitors, resolves and closes all New Hire, Termination, and Status Change tickets in ServiceDesk
- New Hire and Status Change Tickets
- Verify/research any missing information
- Tracks and updates software application installations in Service Desk
- Updates several applications as appropriate, including:
- RightFax
- Loopup
- Updates email addresses for the Impersonation Protection Policy
- Termination Tickets and Processing
- Disable/Delete Zoom User account
- Run Outlook folder report for the departing employee
- Run H: Drive report for departing employee
License Tracking and Allocation Process in Service Desk
- Tracks and creates licenses agreements in ServiceDesk
- Notifies managers of any shortages or machine number discrepancies
- Conducts licensing audits
- Allocates and Deallocates licenses as appropriate
Application and User Support
- SimplyAgree: Sends out SimplyAgree access emails and training documents to new users
- Shared Folder requests and permission updates for several departments including Information Governance and Litigation
Invoice Processing and Tracking
- Enters ledger information in Vendor Excel Spreadsheet
- Creates invoice PDF, codes to proper GL code, and includes internal approval/signoff information as well as vendor specifics
- IT Invoice/PO processing
- Responsible for resolving vendor invoice questions and disputes
- Monitors expected invoice dates and pulls from vendor portals as needed
- Assist in Litigation Support invoice processing
Asset Monitoring
- Assists IT Managers in refining hardware asset tracking process in ServiceDesk
- Monitors hardware moves
- Researches hardware statuses to accurately reflect machine state in ServiceDesk
- Monitors AT&T WiFi Devices
IT Special Projects
- Works on special projects as assigned
- Develops best practices to address IT administrative process and project needs
- Works independently to ensure process is accurate, effective, and completed in a timely fashion
- Assists IT managers with special requests and process improvementLitigation Support Assistance
- Submitting archive requests to and downloading from Casepoint
- Processing machine translation requests
JOB QUALIFICATIONS
- High school diploma; at least seven years of relevant work experience.
- Must possess advanced MSOffice, technical process and fundamental database knowledge.
- Must demonstrate excellent organizational skills and be detail oriented.
- Must effectively communicate with others by obtaining and sharing information responsibly in a clear, concise, professional and timely manner.
- Must exhibit personal accountability, sound independent judgement, creative problem solving, and a disciplined and conscientious approach to completing assignments.
- Must conduct oneself in a highly professional and reliable manner; must exhibit confidence, integrity and composure in all professional interactions; must maintain confidentiality.
