Our Inspections department is seeking a qualified candidate to fill our Inspections Coordinator position, which consists of having daily interactions with inspectors, following up on their open orders, monitoring their performance and communicating any urgent requests that may come up, ensuring inspectors follow work order instructions all while adhering to investor, insurer, and client guidelines.
Job Duties/Responsibilities Include but not limited to:
- Outbound Calls:
- Initiate outbound calls to vendors and partners.
- Communicate effectively to gather information, provide updates, and address queries.
- Vendor Management:
- Establish and maintain relationships with vendors.
- Negotiate terms, agreements, and contracts with vendors.
- Resolve issues, concerns, or disputes with vendors in a professional manner.
- Research and find coverage for orders with no coverage/assigned inspector.
- Follow-up on Late Jobs:
- Track and manage job schedules to ensure timely completion.
- Implement proactive measures to prevent delays.
- Investigate and address reasons for late jobs, implementing corrective actions as necessary.
- Communication:
- Maintain clear and consistent communication with the supervisor and VP.
- Collaborate with cross-functional teams to achieve project goals.
- Report regularly on outbound call outcomes, vendor interactions, and project status.
- Adaptability:
- Take ownership of assigned projects from the supervisor.
- Demonstrate flexibility in handling various tasks and projects.
- Adapt to changes in priorities and responsibilities as directed by supervisors.
- Professionalism:
- Uphold a high level of professionalism in all interactions.
- Represent the company positively in dealings with vendors and other external parties.
- Continuous Improvement:
- Actively seek opportunities to enhance processes and workflows.
- Participate in training programs to stay updated on industry trends and best practices.
Job Qualifications Required:
- Excellent verbal and written communication skills
- Excellent attention to detail, organizational and time management skills
- Property preservation/Inspections experience a plus
- Basic Excel knowledge a must
