We are seeking a highly organized and detail-oriented Receptionist/Administrative Assistant with previous HVAC experience to join our team. As the first point of contact for our company, you will play a crucial role in providing exceptional customer service and ensuring smooth office operations. The ideal candidate will have excellent communication skills, strong computer literacy, and the ability to multitask effectively.
Duties:
- Answer phone calls, take messages, and direct calls to appropriate individuals
- Manage incoming and outgoing mail, packages, and deliveries
- Ordering parts and equipment as necessary
- Maintain a clean and organized reception area
- Schedule appointments and maintain calendars for staff members
- Assist with basic administrative tasks such as filing, data entry, and document preparation
- Coordinate meetings, conferences, and events as needed
- Provide general administrative support to various departments
Skills:
- Strong proofreading skills with exceptional attention to detail
- Proficient in office management software and tools
- Excellent customer service skills with the ability to handle inquiries and resolve issues effectively
- Experience managing front desk operations in a professional setting
- Advanced computer literacy, including proficiency in Microsoft Office Suite
- Knowledge of QuickBooks or similar accounting software is a plus
- Knowledge of Housecall Pro or similar software is a plus
- Ability to coordinate projects and prioritize tasks efficiently
- Excellent written and verbal communication skills
- Ability to transcribe meeting minutes accurately
- Experience in event planning is a plus
- Strong problem-solving skills with the ability to think quickly on your feet
- Previous experience in customer support is preferred
