Job duties:
1. Answer/transfer calls to appropriate person.
2. Maintain client/office files organized and documents filed in appropriate file.
3. Prepare client invoices for billing—send credit card link when requested.
4. Prepare client contracts using PasConcepts website.
5. Assist office manager with daily administrative functions (sending invoices, making payments, sending memos, arranging office meetings, etc.)
6. Tend to clients when there is a meeting (offer coffee and/or water).
7. Maintain office/managers schedules in order—schedule meetings accordingly and maintain all calendars updated so everyone is informed.
8. Send/check emails on a daily basis for communication, billing and/or prepare managers emails as needed.
9. Ensure office supplies are stocked—maintain supplies organized.
10. Assist principal with daily functions (type out emails, schedule meetings, make sure he is prepared for all meetings with pens, sketching paper, etc.)
11. Log HOA submittals and have Architect review them—stamp or prepare approval letter if approved.
12. Check USPS mailbox on a daily basis at the end of the day.
13. Ensure office is organized and conference room table is clean and organized for any meetings.
14. Check supplies credit card charges and print all invoices to match all charges on Amazon.
15. Check and match all Thomas Printworks printing charges to match monthly statement and ensure invoices are filed in pending charges to bill client at a later date.
16. Send any office memos required to all employees.
17. Prepare all documents for Architect, office manager and/or team member when needed.
Job Type: Full-time
Pay: $17.75 - $21.37 per hour
