What you'll be doing as a Human Resources Payroll Admin Assistant:
- Communicating with Community Managers and Portfolio Managers regarding payroll requirements and training them on procedures (monthly training @ Corporate office)
- Preparing materials for monthly Manager training and assist with the training overview
- Accurately enter employee status changes, updates to payroll information and timesheets in time and attendance.
- Maintaining records for Vacation, Sick and Personal hours
- Assist in the Preparation of GL Report for Accounts Payable to fund payroll
- Maintaining workman’s compensation and other State Fund agency information by creating reports and providing check request breakdown for A/P.
- Assist in maintaining employee set allocations, for multiple departments
- Set up and maintenance of payroll spreadsheets
- Completing wage verifications from all agencies
- Coordinating pre-employment screening and communicating results
- Help verify and maintain I-9 documents on all employees
- Ensure accurate completion of employee files and proper completion of required legal forms
- Invoice properties for third-party workers' compensation to appropriate company sites.
- Makes changes to existing forms and create new forms.
- Update and maintain company’s field HR forms; ensuring posting to appropriate company sites.
- File and maintain employee records
- Assist with special projects, correspondence, spreadsheets, databases, and presentations as requested.
- Recommend and implement enhancements to existing systems/processes to improve efficiencies and reduce costs.
- Assist with new hire entry
- Assist with allocation for medical billing
- Setting up garnishments in the payroll system
- Processing and paying 3rd party garnishments each payroll process
- Reporting new hire information to State agencies
- Scanning and archiving employee personnel files on SharePoint
- Regularly update manual check register, to reconcile: run monthly reports
Are you qualified? (We hope so!)
- High School Diploma or equivalent; higher education preferred; 2+ years Human Resources experience; education may be substituted for experience.
- Intermediate knowledge of Microsoft Excel and Word is required
- Must have a valid driver’s license and reliable transportation
