Mather seeks a Human Resources Assistant to join our team in Evanston, IL. This position provides coordination and administrative support for Human Resources processes and projects, assures accurate record keeping and record retention of employee records, and provides primary reception coverage for the Mather Headquarters office.
In this role, the Human Resources Assistant will be responsible for the following.
- Administers timely data entry of new hires and status changes for HRIS. Maintains HRIS database, maintaining confidentiality of sensitive information contained in databases and/or files, including electronic files. Partners with Payroll Manager to ensure accurate and timely processing of new hires, employee pay changes, and terminations.
- Establishes and maintains personnel files and coordinates record retention, including off-site storage of employee files. Provides audit support for 401K audit, Kronos experience center audits and other audits as requested.
- Processes and submits new hire reporting for Mather HQ and Mather Place new hires.
- Responds to employment verification requests, ensuring validity of request and employee authorization for salary verifications.
- Provides onboarding and offboarding support, including meeting with new hires to onboard in UKG, and terminations to collect equipment and fill out forms.
- Provides backup support to Director, Human Resources, including administration and monitoring of pre employment checks for new hires, employee requests for assistance with Mather employee programs (i.e. tuition reimbursement, employee referral program, UKG access, etc.).
- Assist with coordination and implementation of employee events at Mather Place and HQ, including Holiday parties, Alonso's Birthday celebrations, and other employee events.
- Administration of monthly Service Award Program, including printing and monthly distribution of Service Award Certificates.
- Support for local LDP sessions
- Relias (LMS) data entry of employee compliance training records
- Assemble benefits packages for orientation materials.
- Provides reception coverage for HQ, including answering HQ phone line, checking and responding to messages, greeting and providing a Mather Experience to visitors, and receipt and distribution of mail and deliveries.
- Assists with mailings and special projects, including benefits and employee mailings. May conduct tours of HQ office.
Secondary Functions:
- Provides support to HR Team members on project/initiative basis.
- Updates bulletin boards/communication vehicles for HQ; distributes bulletin board information to communities.
- Serves as a key member of the HR experience center team, responds to miscellaneous internal and external inquiries and aids as needed.
- Other duties as assigned.
