A Day in the Life of a Human Resources Assistant Position

This position operates every Monday through Friday, from 7:00 a.m. to 3:30 p.m. Overtime hours may be required during busier times or large events (open enrollment, large training, etc.).

Your role would be working with the HR Director and supporting the department by way of performing various administrative tasks. Please see below for an example of what an average day would entail:

· Administration Support – Supports requests for access cards; schedules meetings and supports company-wide events; tracks receipt of HR-related documents; completes and/or manages verifications of employment, wage withholding orders, EDD forms, and other documents; tracks payroll exceptions; supports FMLA/CFRA requests and tracks leaves of absence.

· Benefits – Submits HSA contributions to third-party administrator; completes enrollments, terminations, changes, etc. to team member benefits; supports annual open enrollment.

· Communication – Updates bulletin and communication boards; checks suggestion boxes and tracks feedback, actions, etc.; conducts 60-day and 1-year check-ins for new hires; serves as point-of-contact for team members in regards to HR questions, requests, etc.

· Hiring Process – Conducts phone interviews; schedules interviews throughout the hiring process; maintains candidate documentation; performs reference checks and employment verifications.

· Onboarding/Transfers/Offboarding Process – Completes I-9 form and ensures pre-employment drug screens are performed; provides onboarding packet to new team members; supports onboarding activities; completes or facilitates all onboarding, transfer, or offboarding tasks.

· Training – Schedules induction training and manages documentation; manages training effectivity companywide; coordinates and tracks reoccurring training; creates and uploads training records; tracks and facilitates harassment training.

· Various projects – Assists in various tasks to support HR-related projects, reporting, documentation, events, and other functions.

· Performs other duties as assigned.

What You’ll Need

An ideal team player mindset: people smarts, humility and drive.

2 years minimum in an administrative role; 1 year minimum in an HR or payroll role or similar.

Proficient in Microsoft Word, Excel, Outlook and PowerPoint.

A positive and energetic personality with a strong desire to help others.

Strong interpersonal communication skills and ability to effectively coordinate the efforts of others.

Extremely detail-oriented and organized.

Strong writing skills with the ability to compose emails to all levels of the organization.

Willing to take initiative and be proactive in seeking out information or getting things across the finish line.

High level of discretion and professionalism while handling sensitive matters with ability to maintain employee confidentiality.
