Human Resources Administrative Assistant
II. Job Summary (Essential Functions)
The Human Resources Administrative Assistant aids with and facilitates the human resource processes ensuring that initiatives, policies, and guidelines are administered in accordance with federal, state, and local regulations and that provisions are followed. The role provides administrative support to the human resource function as needed, such as record-keeping, file maintenance, HRIS entry, payroll processing, and other human-resource-related programs. The Human Resource Coordinator informs HR Director of issues related to employee relations; maintains confidentiality and security of employee, and Club records.
Follow all Club policies and procedures; maintain confidentiality; report accidents, injuries, and unsafe work conditions to management. Speak with others using clear and professional language; prepare and review written documents accurately and completely; answer telephone calls using appropriate etiquette. Develop and maintain positive working relationships with others; support team to reach common goals; listen and respond appropriately concerning other employees.
III. Responsibilities include but not limited to:
1. Report to work on time.
2. Inform HR Director of issues related to employee relations.
3. Respond to questions, requests, and concerns from employees and management regarding Club and Human Resources programs.
4. Answer phone calls and record messages.
5. Talk with and listen to other employees to effectively exchange information.
6. Assist team members to promote an environment of teamwork and achieve common goals.
7. Create and maintain filing systems.
8. Create and type office correspondence using a computer.
9. Maintain the confidentiality and security of employee and Club records.
10. Enter and locate work-related information using computers and or point of sales systems.
11. Move, lift, carry, push, pull, and place weighing less than or equal to 25 pounds without assistance.
12. Assist with processing of new-hires.
13. Assist with processing of terminations and payroll processing.
14. Files documents into appropriate employee files.
15. Makes photocopies; mails, scans, and emails documents; and performs other clerical functions.
16. Assist with employee events; prepares flyers and marketing materials.
17. Excellent verbal and written communication skills.
18. Excellent interpersonal and customer service skills.
19. Working understanding of human resource principles, practices, and procedures.
20. Time management skills.
21. Proficient with Microsoft Office and related software.
22. Prolonged periods of sitting at a desk and working on a computer
23. Must be able to lift to 25 pounds at times.
