Credence Management Solutions, LLC (Credence) is seeking an experienced Executive Assistant and Operations Support professional who can join our team and provide support to the leadership of the U.S. Army’s financial system of record product office – General Fund Enterprise Business System (GFEBS). This is largely a remote position (currently 4 days telework/week) supporting the GFEBS Product Office in Crystal City, VA.
GFEBS is a financial management, web-based, System Analysis and Software Development (SAP) enterprise resource program (ERP). The General Fund Enterprise Business System - Sensitive Activities (GFEBS-SA) is a fully functional GFEBS application operating on SIPRNet with additional security requirements to protect national security information. It enables the final retirement of legacy core financial systems, while integrating seamlessly with GFEBS to provide secure, web-based, real-time data to the Army’s Sensitive Activities. Fully fielded, GFEBS replaced or absorbed more than 80 legacy accounting and asset management systems. GFEBS has been fully migrated to the Amazon Web Services (AWS) commercial cloud and is operated through the Army Shared Service Center (ASSC) for sustainment.
GFEBS is fully fielded to Army and DoD organizations around the world. The Product Office continues to develop and field enhancements to the system to facilitate a clean audit and strengthen overall system security. This position will support the Product Director, Deputy Product Director and Operations Director with the full range of EA support activities and provide operations support to the staff. The client leverages MS Teams and SharePoint for coordination and collaboration, so any candate must be fully versed with these systems.
Candidate should possess experience as an EA/Operations support with an U.S. Army, other Service, or other DoD organization and be comfortable interacting with senior leadership, often summarizing (verbally and/or written) reports, papers, memo’s. Candidate must be detail oriented and very organized to meet the fast paced nature of the Product Office. In addition to MS Teams and SharePoint, the candidate must be very proficient with MS Word and PowerPoint and have some knowledge with MS Excel. Experience with DTS and TMT is a plus.
Position Description
· Provide executive assistance at the O-5 and O-6 levels, to include:
- Prepare draft and final documents such as working papers, letters, reports, memos, spreadsheets, charts/graphs, briefings, displays, newsletters and brochures, to include multi-media presentations. Organize, track paper and electronic files and perform indexing, scanning, labeling, and filing of those files.
- Provide daily clerical duties such as word processing, data entry, receptionist duties, incoming/outgoing mail, track and route documents, requisition of supplies needed, and maintain inventory of supplies.
- Maintain Microsoft Outlook calendars for upper management (e.g. Director, Deputy Director, Program Manager, Deputy Program Manager, etc.) within the PM DIBS Portfolio by making appointments and arranging for meeting rooms.
- Respond to routine telephone requests, refer calls and visitors to appropriate staff, screen calls, visitors, and incoming correspondence, control email and assure timely staff response.
- Make arrangements for conferences and meetings and assemble established background materials, to include preparing information and support requirements for conference and/or workshop attendance justifications.
Basic Qualifications
- Must possess an active secret clearance
Strong interpersonal skills and ability to work both independently and in a team environment
Ability to maintain flexible work hours (work hours are consistent but occasional ad hoc requirements may necessitate flexible hours – Comp Time available)
Ability to manage multiple calendars simultaneously
Ability to proof/edit MS Word and PowerPoint presentations
Ability to assist leadership with planning activities and being aware of upcoming deadlines/suspenses and important events.
Coordinate Product office events, meetings and/or ceremony’s
Perform other duties as assigned
Specific Qualifications
- Very proficient with MS Office as outlined above
- Ability to learn the Defense Travel System (DTS) and Task Management Tool (TMT) within 30 days of onboarding
