Overview:
We are seeking a highly organized and detail-oriented individual to join our team as an Assistant to the Vice President of Commercial Operations at Adam Quenneville Roofing and Siding.
Job Responsibilities:
- Work directly with Vice President of Commercial Operations.
- Provide administrative support to ensure efficient office operations.
- Maintain physical and digital filing systems.
- Answer phone and assist callers, schedule appointments, sign for incoming packages and assist clients and other visitors.
- Respond to emails and other digital queries and correspondence.
- Manage calendars for senior staff and make travel arrangements.
- Draft and edit letters, reports, and other documents.
- Input and update information in databases and spreadsheets.
- Prepare meeting agendas and take meeting minutes.
- Coordinate logistics for meetings, including room setup and catering.
- Use word processing/presentation software to create/edit documents.
- Operate and maintain office equipment, including printers, copiers, and fax machines, and keep office supplies up to date.
- Research/compile/summarize information for reports/presentations.
- Work closely and support other administrative staff/colleagues.
- Work with sensitive information and maintain confidentiality, and ensure compliance with privacy policies and regulations.
- Meet deadlines and adapt to changing priorities.
- Present a positive and professional image for the organization.
