Our company is seeking an experienced individual to provide exceptional first point of contact front desk receptionist and administrative support to our firm’s clients, guests and team members.
This position will ensure opening and closing of office, smooth day-to-day operations while providing superior assistance to all individuals by answering the main phone line, scheduling appointments, performing general clerical duties and assisting all team members as needed
Responsibilities:
- Welcome and greet guests in a professional manner, being sure each guest has a positive experience.
- Answer the phones in a friendly, warm manner
- Calls to schedule/re-schedule appointments and follow-up with clients as requested
- Maintain organized appointment calendar system for all advisors
- Maintain an organized, compliant and efficient filing system
- Assist with copying, scanning, faxing as requested by the team
- Prepare appropriate files for all appointments and when requested by the team
- Effectively use CRM system
- Record notes from every client conversation in the CRM system
- Send all outgoing USPS mail, FedEx/UPS shipments
- Prepare and mail birthday cards
- Assist administrators with client review preparations, outgoing phone calls for information, and various miscellaneous tasks in support of all team members.
- Order and manage all office supplies
- Assist as needed for planned events (planning, set-up, clean-up, etc.)
- Maintain effective communication with all team members, vendors, clients, and prospects.
- Run errands as necessary
*1-2 Years experience in a front desk receptionist field required.
*Positive attitude is a must!

Job Type: Full-time
Pay: $15.00 - $16.00 per hour
Expected hours: 40 per week
