Job Summary
The DNR is seeking to fill a full-time, permanent Front Desk Receptionist position at the Central Office in Saint Paul, MN. The position exists to provide security, service, information, and direction to the general public and employees of the DNR. This position will provide clerical and administrative support for the Buildings and Sustainability program as needed. This position will ensure and monitor security requirements of the Front Lobby space, as well as assisting with data entry and maintenance of the DNR building access program. The Front Desk Receptionist will serve as the primary contact for the Front Desk, greeting guests, and answering phone calls and email. Responsibilities include but are not limited to:
- Provide administrative and clerical support to the Buildings and Sustainability (BAS) program. Incumbent will provide excellent customer service to both internal and external customers at a professional level.
- Assists with managing employee, vendor, and visitor access to the Department of Natural Resources in accordance with the security policy. This includes processing card access requests and coordinating signatures for access approvals along with some reporting. Incumbent will also support and assist with security involving the Central Office.
- Respond to lobby guests, telephone, email, and walk-in inquiries using a friendly, welcoming demeanor, voice, and best in practice customer service skills. Provide answers to guest inquires including parking and gift store questions. Redirect guests to the License Center and Information Desk with business and information requests. Resolve common employee questions including parking, shuttle schedule, building issues, conference rooms, mother's rooms, and guest notification inquiries.
Qualifications
Minimum Qualifications
- Knowledge of customer servicepractices and principlessufficient to represent the department in a courteous, friendly, helpful, and professional manner in personand over the phone.
- Communication skills sufficient to evaluate internal and external customer needs, gain the customer's trust, put them at ease, manage stressful situations, and ensure that all customer questions are answered.
- Interpersonal skills sufficient to tailor communication styles to the situation, to interact in a calm, thoughtful, and professional manner, and to quickly establish positive connections.
- Data entry skills sufficient to enter customer information into a word document or spreadsheet.
- Skill in software programs such as Microsoft office and Excel, sufficient to review and maintaincalendars for staff and meeting rooms.
- Ability to communicatesufficient to clearly understand and be understood in person, in writing, and via phone interactions with customers.
- Ability to identify staff and visitors moving within the building, including the ability to recognize and recall someone on a deny entry list or to request return of a temporary badge from a visitor departing without dropping the badge off.
Preferred Qualifications
- One (1) yearof customer service experience working as a Front Desk Receptionist.
- One (1) yearof experience working as a security guard position, with public reception duties.
- One (1) year experience with standard computer software programs for word processing, spreadsheets, and databases sufficient to create, modify, and protect/save documents and information.
- Demonstrated experience with managing a calendar and scheduling meetings/appointments in Microsoft Outlook.
- Typing and word processing skills sufficient to complete advanced administrative tasks and ensure documents and records are complete, accurate, and current.
- Experience working with security measuresand security access controls and software.
- Knowledge of DNR programs and activities.
