We are looking for a compassionate, experienced Front Desk Receptionist to join our team! The receptionist provides a high quality, professional reception and administrative service to clients, doctors, staff, colleagues, visitors, and others. This individual is the first point of contact for clients contacting the office and must represent the office in the highest professional manner. This individual also ensures that inquiries from clients are efficiently and courteously handled.
Responsibilities:
- Greets all clients and visitors to the office.
- Responds to inquiries of clients, prospective clients, and visitors in a courteous manner.
- Signs clients in and updates existing client demographics by collecting detailed information including personal and financial information to enter into client database.
- Provides new clients with intake and new client forms, as well as copies of office policies and legally required documents. Explains office procedures and formal requirements to new clients and ensures procedures are completed.
- Protects client confidentiality, making sure protected health information (PHI) is secured by not leaving PHI in plain sight, logging off computer, and safeguarding documents.
- Schedules, changes or cancels new and recurring client appointments according to appointment procedures, and ensures optimum efficiency of the clinicians' schedules.
- Ensures that clients without appointments who are in crisis are directed to the appropriate clinical party.
- Ensures that appointment system is up to date and schedules are filled
- Facilitates client flow during the day by notifying providers of client arrival for appointments, being aware of delays and communicating with clients and clinical staff.
- Answers muti-line phones while maintaining a polite consistent phone manner using proper telephonic etiquette. Directs the call to the appropriate party, or handles the caller's needs.
Qualifications:
- Minimum High School Diploma
- Associates degree, or certificate in medical reception, medical assistant or similar field preferred.
- 1-year previous experience in mental health or other related fields
- Ability to follow mental health regulations.
- Excellent written and verbal communications skills.
- Ability to build rapport with clients.
- Ability to use a Electronic Health Record, Microsoft Outlook, and Microsoft Teams.
Other Skills:
- Bilingual in Spanish and English
