Position Overview
The Fleet, Facilities, and Equipment Manager will be responsible for a growing fleet of more than 180 vehicles in the Dallas Fort Worth market as well as a beautiful, 20k square foot headquarters building near I-35 and Mockingbird, and other buildings and warehouses in Carrollton, TX. We’re looking for someone who has excelled in a similar environment and can help us develop best practices for the maintenance, management, and optimization of these important assets. This position will report to the CEO on an interim basis and to the Vice President of Operations thereafter.
Responsibilities
Leadership
- Oversee the mechanic and custodial teams, which will increase with company growth.
- Conduct regular one-on-ones with all direct reports.
- Ensure employee performance evaluations are timely and thorough.
Fleet And Equipment
- Develop and implement comprehensive, preventive maintenance programs and tracking for all company vehicles, equipment, and facilities.
- Coordinate with operations and shop teams to complete regular inspections, repairs, and preventive maintenance schedules to minimize downtime and maximize efficiency.
- Evaluate and procure new vehicles and Equipment, ensuring alignment with budgetary constraints, operational requirements, and interest expense.
- Maximize sales price of equipment, vehicles and other assets after useful life is reached. Establish a useful timeline for all small equipment company wide.
- Collaborate with internal teams to optimize and document vehicle setup, workflow processes and enhance overall operational effectiveness.
- Manage vehicle and Equipment loaner units that are provided during repairs.
- Monitor and manage fuel inventory.
- Manage mechanics’ schedule to be available when needed to support operations teams, open and close, and inspect lot for security prior to close.
Facilities
- Oversee facility management, including security, ensuring safety and organization, cleanliness, and maintenance of 20k square foot office in Dallas, 5k square foot office in Carrollton, 2 warehouses, and outdoor facilities maximizing operational efficiency.
- Monitor and enforce safety, cleanliness, and brand standard protocols to ensure a secure and pleasant working environment for all team members.
- Establish relationships with vendors and negotiate service contracts to achieve cost-effectiveness.
Finance
- Create and maintain departmental budgets and assist branches in cap-ex budgeting.
- Work with the accounting team to ensure assets are recorded, depreciated, and ultimately removed after useful life.
- Prepare and deliver a report at the monthly finance meeting.
Job Requirements
- Bachelor’s degree in business administration, logistics, or a related field, or equivalent work experience
- Proven experience (5 years) in fleet and Equipment management within a similar industry
- Proficient in Office 365, fleet management software and related tools
- In-depth knowledge of safety regulations and compliance standards
- Valid Texas driver’s license
- Strong organizational and problem-solving skills
- Excellent oral and written communication skills
- Ability to multitask and prioritize in a fast-paced environment
- Fluency in Spanish preferred

Physical Demands
Must be able to lift/carry materials up to 50 lbs, move about the work site, communicate efficiently and effectively on the telephone or in person, and complete required paperwork. Exposure to dust, pollen, chemicals, cold, and heat in an external environment. Requires extended periods of walking, standing, kneeling, bending, and lifting.
Working Conditions
Include external environment dealing with all weather and terrain exposure. Safety equipment includes, but is not limited to hard hats, gloves, earplugs, safety vest and safety glasses. This position may necessitate working during inclement weather events.
