Administrative Assistant
Summary: To provide confidential, professional administrative support to assigned managers and work groups’ so the company can achieve its goals and objectives
Job Duties:
- Provides general administrative support (e.g. copying, faxing, mailing, filing, telephone and email support, calendar administration, expense reports, preparing presentations, attending meetings, taking minutes, travel arrangements) to assigned individuals and work groups.
- Communicates with customers and/or suppliers, management team and other employees regarding requests for information; supervisor and management team regarding any problems or issues (e.g. employee concerns, consumer/customer/supplier issues).
- Collects, sorts, distributes and prepares mail, messages or courier deliveries.
- Processes and prepares memos, presentations, reports and other documents according to established standards.
- Completes and maintains designated reports, and other paperwork according to established company policy; completes time-off requests.
- Transmits information or documents to customers, suppliers, and employees using computer, mail or facsimile machine.
- Greets individuals entering facility; determines nature and purpose of visits and escorts them to specific destinations.
- Schedules and reserves space and/or equipment for meetings and prepares list of and tracks participants.
- Maintains confidentiality of financial information, pricing, customer and supplier information, passwords to websites (e.g. credit card companies) and other sensitive and confidential information.
- Works assigned schedule, exhibits regular and predictable attendance and works outside of the normal schedule as required to meet workload demands. Performs other related duties as required.
Education: High School Diploma, GED or equivalent degree required; Associates degree in business management or related field strongly preferred.
Experience: 3-5 years of previous administrative support in a sales/operations/production/distribution environment required.
Computer Skills: Proficiency in Microsoft Office Suite, including Access.
Other Requirements: Knowledge of: Microsoft Office Suite including Access; Business Intelligence Reporting; beverage industry. Skill in: internal and external customer service. Ability to: work quickly, efficiently and independently; multi-task; prioritize; be detail oriented; meet deadlines in a pressured situation; communicate effectively with other employees and develop good working relationships; adapt to change; problem solve; operate a computer, copier, printer, fax machine; read and write.
