POSITION SUMMARY:
The Straumann Group is currently seeking an Executive Assistant to be located in Andover, MA, supporting our NAM Lead Team (LT) members, which include the VP of People and Culture, VP of Marketing and Education, and VP of Legal Counsel, in their day-to-day business operations. The Executive Assistant will oversee calendar management, correspondence preparation, call screening, travel arrangements, expense processing, and field visit organization. Furthermore, they will act as a communication liaison within the organization, both domestically and internationally, handling confidential information with utmost discretion. Regular interactions with employees, key opinion leaders, and customers will take place via phone, email, and occasional face-to-face meetings. This role may also entail managing local or national meeting logistics, such as presentation preparation, catering, and venue/vendor coordination.
JOB RESPONSIBILITIES:
This position is responsible for, but not limited to, the following:
- Manage the LT’s calendar, scheduling appointments and meetings
- Arrange internal or offsite meeting space i.e. meals, room set-up, transportation, etc. for Executive Meetings, customer, and internal employee meetings
- Arrange complex and detailed travel for supported LT, as well as assisting Executives from HQ (if requested) by interacting with their Executive Assistants at Headquarters
- Be available when an LT member is traveling to assist with emergency travel arrangements.
- Prepare and finalize presentations
- Prepare expense reports and reconcile JP Morgan billing
- Type correspondence to include letters, memos, forms, e-mails, etc.
- Handle and maintain confidential information
- Screen incoming phone calls and e-mails and respond independently when possible
- Serves as a contact to people inside and outside the company
- Represent the Local LT effectively with customers, prospects, employees and suppliers
- Perform special projects as assigned
- Collaborates with various staff and departments in preparing special projects
- Takes an active role in helping to foster a team-oriented culture.
- Work collaboratively with other Executive Assistants as needed
PHYSICAL ATTRIBUTES:
- Sit and work on a computer and participate on video calls for long periods of time
MINIMUM QUALIFICATIONS:
- Associate Degree in Business, Secretarial Science, or related discipline (two-year program)
- 5+ years of experience in supporting multiple top-level executives in a matrixed, multinational corporate setting.
- 5+ years of experience working with SAP, organizational chart design and review and management of departmental budgets.
- 5+ years of experience working with Microsoft Suite (MS Word, Excel, and Power Point)
PREFERRED QUALIFICATIONS:
- Bachelor's Degree in Business, Liberal Arts or related discipline
- Ability to work in an international environment with multiple internal and external customers and determine priorities
- Negotiation skills
- Previous procurement experience
- Self-motivated, demonstrated ability to take on tasks or projects, without being asked
- Professional phone etiquette; excellent written/oral communication skills
- Strong professional judgment/critical thinking
- Strong interpersonal skills; diplomatic
- Strong organization skills with developed processes and ability to prioritize
- High customer service ethics
- Detail-oriented; Strong focus on accuracy, quality, and timeliness all while handling multiple tasks
