Cabot Corporation is seeking a highly organized and proactive Executive Assistant to provide comprehensive support to the Senior Vice President of Global Business Services, Global Engineering, and Inkjet. This individual will join the team at the Cabot Business & Technology Center in Billerica, MA.
The ideal candidate will be a service-oriented thinker who is excited to support a leader managing a global team that spans across various time zones. Additionally, the candidate would possess exceptional communication and organizational skills to manage an evolving calendar and frequent domestic/international travel, skilled at creating highly visible presentations, familiar with centralizing collaboration technologies, and demonstrate a high level of discretion.
This role offers the opportunity to work closely with senior leadership and contribute to overall success by identifying areas for increased efficiencies, proactive thinking to anticipate future needs, and centralized contact for coordination of offsite, global meetings.
This role is based at the Billerica, MA, location, and is eligible to participate in Cabot’s Flexible Working Arrangement (hybrid) program as schedules allow.
- Manage complex calendars, including scheduling meetings, coordinating travel arrangements, and organizing appointments for multiple executives.
- Act as a primary point of contact for internal and external stakeholders, screening and prioritizing incoming communications and inquiries.
- Prepare and edit correspondence, presentations, and reports on behalf of executives, ensuring accuracy and attention to detail.
- Coordinate and facilitate meetings, conferences, and special events, both on-site and virtually, including logistics, agendas, and materials.
- Assist with special projects and initiatives as assigned, providing research, analysis, and administrative support as needed.
- Maintain confidentiality and discretion in handling sensitive information and matters of a confidential nature.
- Anticipate the needs of executives and proactively identify opportunities to streamline processes and improve efficiency.
- 5+ years of experience providing high-level administrative support to executives in a corporate environment.
- Secondary education required; High School diploma/GED is required, but post-secondary training (certificate program) or bachelor’s degree preferred.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications. Ability to learn new software and systems, as needed.
- Ability to work effectively across all levels of stakeholders in a global organization (seniority, time zones, cross-cultural differences, etc.) including prior experience supporting global employees.
- Experience with calendar management, utilizing MS Outlook, and travel planning and expenses (preferably utilizing Concur)
- Prior experience using and administering collaboration technologies and platforms (e.g. MS Teams, SharePoint)
- Strong organizational skills with the ability to prioritize tasks and manage multiple deadlines effectively.
- Excellent written and verbal communication skills, with a keen eye for detail and accuracy.
- Ability to maintain professionalism and composure under pressure, demonstrating tact and diplomacy in all interactions.
- Proactive mindset with a commitment to delivering exceptional service and support to executives and colleagues.
- Previous experience in a manufacturing or chemical industry preferred, but not required.
