Executive Assistant

As an Executive Assistant at Thesus Health, you will be instrumental in providing comprehensive support to our CEO while efficiently managing office and business operations. The Executive Assistant role is a full-time (M-F), in person position at our office in Merrifield, Virginia. We are offering a competitive rate starting at $22 per hour. This position will start the week of January 21, 2024, and will require around 40 hours per week.
Thesus Health is headquartered in Merrifield, VA; all candidates must reside in the Northern Virginia or Washington, DC Metro area to qualify for the position.
Major Responsibilities and Tasks:
- Calendar Management: Coordinate and manage the CEO's calendar, scheduling meetings, appointments, and ensuring timely responses to invitations.
- Communication: Serve as the first point of contact for the CEO, managing emails, calls, and correspondence with internal and external stakeholders.
- Documentation: Prepare and edit reports, presentations, and other documentation as required by the CEO.
- Meeting Coordination: Facilitate and organize meetings, including preparing agendas, recording minutes, and following up on action items.
- Phone Management: Professionally handle incoming calls, route them to the appropriate departments, and assist with inquiries.
- Office Organization: Oversee day-to-day office operations, ensuring a well-organized and efficient working environment.
- Office Coordination: Collaborate with various teams to support daily operations and maintain a well-organized reception area.
- Maintaining Inventory: Keep track of office supplies and maintain inventory levels.
- Administrative Tasks: Handle general administrative tasks, including filing, mail distribution, and coordination of office events.
- Other Administrative Tasks:Assist with various administrative tasks as needed to support the overall functioning of the office.
- Adaptability: Thrive in a startup environment by adapting to changing priorities and contributing to a positive workplace culture.
Required Skills and Abilities:
- Excellent Verbal and Written Communication: Strong communication skills to interact effectively with clients and team members.
- Friendly and Customer-Service Oriented: A warm and approachable demeanor to create a positive experience for clients and visitors.
- Ability to Work Independently and Collaboratively: Capable of handling tasks independently while also being a team player when needed.
- Strong Organizational Skills: Detail-oriented with the ability to manage multiple tasks and priorities efficiently.
- Proficient in Google Workspace applications (Docs, Sheets, Slides) and Microsoft Office.
- Creative thinking and problem-solving skills.
- Positive attitude, good people skills and the ability to work closely with people at all levels of experience and proficiency.
- Ability to thrive in a fast-paced startup environment.
Required Education and Experience:
- Minimum High School diploma or equivalent.
- Strong communication skills, both verbal and written.
- Ability to handle multiple tasks and responsibilities with efficiency.
- Experience in a startup environment and/or healthcare background is a plus.
Physical Requirements:
- Ability to sit at a desk for prolonged periods of time and working on a computer.
- Ability to perform repetitive hand and wrist motions for extended periods of time.
