About This Role
This is a full-time, hybrid position located in Richmond, Virginia, requiring a minimum of two days per week of on-site work. Remote candidates will not be considered.
The Executive Assistant (EA) supports the day-to-day administration of ChildFund’s Programs Division, a global team that is comprised of Business Development, Programming, Operations, Research, and Monitoring and Evaluation. The EA directly supports the Senior Vice President/Chief Impact and Innovation Officer and the Vice President, Program Resources and Institutional Learning. The EA assists the SVP/CIO and VP with scheduling meetings, team and inter-department communication, and developing presentations and other materials to different audiences, including current and prospective donors, the Board of Directors, the Executive Team and other senior leaders. The EA also serves as a Secretary to the Program Committee of ChildFund’s Board of Directors and supports the successful administration of Committee meetings and full Board meetings. The EA assists with management of the Programs Division budget, including support of purchasing and payments.
Required Experience and Education
  • Bachelor’s degree or equivalent combination of education and experience.
  • At least 4 years of experience in an external facing role, including previous experience working with senior executives.
  • Experience running and managing virtual and in-person meetings.
Primary Responsibilities
  • Completes administrative tasks for the SVP/CIO, VP, and other senior staff on the Programs Division Team upon request, including: managing an active calendar of appointments; completing expense reports; composing and preparing correspondence; arranging travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
  • Plans, coordinates, and ensures the SVP/CIO's schedule is followed and respected.
  • Provides a bridge for smooth communication between the SVP/CIO and VP and other departments, demonstrating responsiveness and building relationships with senior management, staff, and the organization at-large.
  • Works closely and effectively with the SVP/CIO and VP to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
  • Works with the SVP/CIO to plan and schedule the Board of Directors Program Committee meetings (4 per year), including developing agendas, scheduling meetings, posting agendas and minutes in the appropriate section of ChildFund’s board management platform (OnBoard), and other logistical support.
  • Provides assigned administrative and logistical support as part of the team managing the Board of Directors meetings, including preparation and distribution of materials.
  • Provide excellent customer service to internal and external contacts, including Board members.
  • Maintain confidentiality and discretion when handling sensitive information.
Required Competencies
  • The ability to read, write, and speak fluently in English. Proficiency in another language is beneficial but not required.
  • Strong written, verbal, and interpersonal communications skills.
  • High level of proficiency with Microsoft Office (Word, Excel, Power Point, Teams).
  • Ability to work independently in a hybrid work environment.
  • Strong organizational skills with the ability to prioritize multiple tasks seamlessly with excellent attention to detail and management of deadlines.
  • Demonstrated willingness to take initiative and solve problems.
  • Outstanding customer service orientation; high responsiveness to messages, concerns, and requests.
  • Demonstrated diplomacy in working with diverse cultures and audiences and sensitive situations and subject matter.
  • Impeccable judgment and discretion when working with confidential and sensitive information and material.
Other Criteria
  • The ability to work on-site two days per week.
